Get notified when shared files are accessed
If you are teaching a class or are sharing files for any reason, you may wish to know how often and when your files are accessed. Or, you may simply want to know if the file has changed, or if someone has made a comment about it.
WebFiles makes it easy with a feature called Subscriptions. When you turn Subscriptions on for a shared file, you will be notified via email if a file of yours is accessed. The email address used for this feature is the address you have listed in the CalNet Directory.
Add Subscriptions to a shared file
- Upload the file you wish to send. For instructions on uploading, see Getting Started.
- Navigate to the directory that contains your file.
- Click the Info icon
next to the file you wish to create a ticket for. - Click the Subscriptions link.

- Click the "Create Subscription" button.

- Choose your Subscription Attributes and click OK.
Subscription Attributes:
- Notify me of: The options are change events, read events and comment events. A change event happens when someone uploads a file with the same name, therefore changing (updating) the file. A read event happens when someone downloads or views the file. Finally, a comment event happens when someone adds a comment to your file.
- Frequency: Options are When events occur, which means an email will be sent to you at the time of each event, and Daily report, which means you will receive a digest of all events occuring each day.
- Notify me of: The options are change events, read events and comment events. A change event happens when someone uploads a file with the same name, therefore changing (updating) the file. A read event happens when someone downloads or views the file. Finally, a comment event happens when someone adds a comment to your file.
- Once you've set your Subscription Attributes, WebFiles will create a Subscription for your file. To stop receiving notification about the file, click the Delete icon
, under the word Unsubscribe on the Subscriptions screen.
